AI for HR and People Teams

AI for HR and People Teams teaches HR advisers, business partners and people operations staff to decide which tasks in their own week an AI tool may draft and which a person must decide. You finish with three reusable drafting briefs and a hold list of information you never paste, so employee data stays protected.

About this course

Generative AI tools can produce a first draft of a policy guide, an interview invitation, or a summary of exit interview themes in seconds, and many HR teams now have one approved for everyday use. The difficulty is that HR work is full of decisions about named people and information that must never leave the organisation's systems, and a model will confidently add entitlements, dates, and services that no policy ever contained.

This course teaches a practical method for deciding which tasks in your own week a model may draft, reading every draft against its source, and repairing a prompt so that held information never enters the tool. You finish with three reusable drafting briefs for your real work and a hold list of the information you will never paste, each line with a reason and an alternative.

What you will take away

  • You will be able to sort any task in your week into Safe to draft or A person decides, using three tests about ownership, input, and whether the output decides anything about a worker.
  • You will be able to read an AI draft one sentence at a time beside its source and find the number, right, or service the model added on its own.
  • You will leave with three reusable briefs, a rewrite, a summary, and a template, each naming its source, its reader, its limit, and its owner.
  • You will be able to repair a prompt that contains health, disciplinary, pay, or other held information so that the task still works without it.
  • You will leave with a signed hold list that names the information you will never paste into an AI tool, why it is held, and what you will do instead.

Who this course is for

  • HR advisers and HR business partners who have been given an approved AI chat tool and want a clear rule for what they may use it for.
  • People operations staff who draft the same letters, guides, and templates every week and want those drafts to stay within approved policy.
  • HR generalists in small organisations who carry the whole people function and need a dependable way to keep employee data out of AI tools.
  • Office managers who look after HR alongside other duties and are asked by colleagues whether a letter or summary can be drafted with AI.

What you will do

Each lesson teaches one part of the method, works through a realistic example, and ends with a check on a case you have not seen. The course closes with an assessment and then the piece of work you sign.

  • 5lessons with a worked example and a check
  • 7scenario questions in the course assessment
  • Signedthe hold list and three patterns, with a record anyone can verify

  1. 01

    Lesson

    Safe to draft

This lesson gives you three tests that decide whether a task is safe for a model to draft or must be decided by a person, and shows why judging a task by its verb misleads people. You sort a real Monday task list and then a different team's week using the two labels.

    • Three tests that must all be true
    • What safe to draft does not mean
    • The second label: a person decides
    • The mistake people usually make

You mark 5 statements from a realistic case and receive an explanation for each one.

  2. 02

    Lesson

    What the draft cannot know

This lesson shows how a model fills gaps in your request with plausible policy detail, and why an invented number of days or rate of pay can become an entitlement in HR. You read drafts beside their source and mark each sentence as staying within the source or adding policy.

    • The model fills the gap
    • Why this matters more in HR
    • Two labels for every sentence
    • The mistake people usually make

You mark 5 statements from a realistic case and receive an explanation for each one.

  3. 03

    Lesson

    Three patterns

This lesson introduces the reusable brief, built from a source, a reader, a limit, and an owner, and the three patterns that cover most HR drafting: a rewrite, a summary, and a template. You check which parts a colleague's brief leaves out and choose the brief you would reuse.

    • A pattern has four parts
    • The three patterns that cover most HR drafting
    • What a pattern is not
    • The mistake people usually make

You compare two versions of the same piece of work, choose the stronger one, and see the reasoning behind the answer.

  4. 04

    Lesson

    What you never paste

This lesson defines held information, covering special category data, criminal offence data, and sensitive HR material such as grievance detail and individual pay, and explains why removing a name is not enough. You mark each sentence of real manager prompts as Can go in or Hold.

    • Held information
    • What can go in
    • Removing a name is not enough
    • The mistake people usually make

You mark 5 statements from a realistic case and receive an explanation for each one.

  5. 05

    Lesson

    Repair the prompt

This lesson teaches three repairs for a prompt that contains held information, removing, generalising with placeholders, or moving the task out of the tool, followed by a limit that stops the model putting the detail back. You repair an absence prompt so the task survives and nothing held remains.

    • Deleting is not always enough
    • Three repairs, smallest first
    • Add the limit
    • The mistake people usually make

You repair a flawed draft so it meets the standard the lesson sets, and your revision is checked against it.

  6. 06

    Course assessment

    Course assessment

This lesson recaps every move in the course and works one mixed request from a site manager about ending agency workers' assignments. You then answer seven new situations from different HR teams, with feedback on each choice, and need six correct to pass.

    • Safe to draft, and what the draft cannot know
    • Patterns and held information
    • Repairs, and how the assessment works

You judge 7 new workplace situations, with feedback on every option, and need 6 correct to pass.

  7. 07

    Final work and signed record

    The hold list

In this final lesson you write the artefact your record will show: three patterns taken from your own week and a hold list about the information that really crosses your desk. Each part is checked for substance, and you sign the finished work so a verifier can read it.

    • Two halves that work together
    • Write about your own desk
    • How the artefact is checked

You write the hold list and three patterns for your own work, part by part, and sign it as your record.

WHAT CHANGES

What the course changes for you and your organisation.

  1. 01

Fewer letters that promise too much

The course trains you to find the sentence in a draft that states an entitlement, a timescale, or a service your policy never contained. That is the sentence an employee could rely on or quote back in a grievance, so catching it protects both the employee relationship and the organisation's position.

  2. 02

Employee data stays out of the tool

You learn to recognise special category data, criminal offence data, and sensitive HR material such as grievance detail and individual pay, and to see why removing a name or using a pseudonym does not release it. Your hold list turns that into a rule you and your colleagues can follow when a manager is in a hurry.

  3. 03

    Decisions stay with accountable people

The course draws a clear line between drafting words and deciding something about a named worker, such as a shortlist, a grievance outcome, or the reason a contract ends. Your organisation gains HR staff who can use AI for the wording while every decision is still made and recorded by someone with the authority to make it.

  4. 04

    AI use is outpacing policy

The CIPD found employees in 76% of UK organisations use AI tools at work, yet only 31% of employers worked on a generative AI policy in the past year. People teams that can say which tasks a tool may draft, and which data stays out, give their organisation a working rule before the policy catches up.
